This page shows you what the CIXON Recruiting ATS sets up in your HubSpot portal and how to get started in three steps.
Requirements
You need super admin rights in the portal you are installing into – and no particular HubSpot tier. The app’s objects are app objects and work in any portal.
Individual modules do rely on portal features: the job portal and the candidate exposé require landing pages, and matching is triggered through workflows.
What installation sets up
Immediately after installation you have in HubSpot:
- the “Job posting” object with all its recruiting fields – specialisation, employment and contract type, seniority, salary range, working model and location. Associable with companies and deals.
- 25 recruiting properties on the contact in the group “CIXON ATS Kontakt Information” – among them category, work experience, salary range, willingness to relocate, search radius, availability, notice period and language skills.
Enabling further modules adds the candidate profile, consultant and match objects, the “Application” pipeline and an application form. The app only creates what your active modules need – you won’t get empty objects in your portal.
Ready in three steps
1. Install the app
Open the listing in the HubSpot App Marketplace, click Install app, choose your portal and confirm the requested permissions. Setup then runs automatically – wait until the confirmation page appears.
After installation the Job postings module is active. We enable all further modules for you.
2. Create your first job posting
Go to CRM → Job postings and click Create record. Pay particular attention to the fields the job portal and matching work with: specialisation, seniority, working model, salary range and postcode. Associate the job posting with the company you are hiring for.
Because job postings are a HubSpot object, you can apply lists, views, reports and workflows to them right away – exactly as you would to contacts or deals.
3. Let us set up your job portal
The job portal renders your openings as an overview, a detail page and a speculative application form. We handle the setup for you so that structure and data binding are right from the start. You maintain the texts, colours and images yourself in the HubSpot page editor afterwards.
Set up the contact view for recruiting
The 25 new properties live in the group “CIXON ATS Kontakt Information”. To make them visible to your team day to day, we recommend a dedicated card in the contact view:
- Go to CRM → Contacts and open any contact.
- Click Customize record at the top right of the middle column.
- Choose the default view or create a new one.
- Click Add card → Create card on the left and select Property list.
- Give it a name, for example “Recruiting”, and add the properties your team works with.
- Save and exit.
The modules at a glance
- Job postings – manage openings as a dedicated object in HubSpot and publish them through your job portal. Free forever.
- CV parser – read résumés automatically and write them into the candidate profile as structured fields: career history, education, areas of expertise, languages, availability and salary expectations.
- Matching – connect candidates and roles by rules: specialisation, work experience, working model, salary range and commuting radius. Every result becomes a traceable match object, not an opaque score.
- Talent pool – build and search structured candidate profiles, so a new vacancy is filled from your own bench first.
- Candidate exposé – share a profile anonymised, as a protected page, and reveal it only once your client is interested.
- Radius search – filter candidates and roles by distance, from 5 km up to nationwide.
- Multiposting – hand your openings to external job boards. Applications flow back into your portal and create the contact and candidate profile, with the role still attached.
Installation and the Job postings module are free forever and without a contract. All further modules are added on request.
Data protection
Résumés are processed exclusively within the EU. Neither the document nor the result is retained beyond that processing step, and neither is used for training.
The CV parser extracts, it does not assess: no suitability scores, no ranking, no automated shortlisting. Health data, religion, trade union membership, ethnicity and applicant photos are not extracted. A data processing agreement is available.
Frequently asked questions
Do I need HubSpot Enterprise?
No. The app’s objects are app objects and work in any HubSpot portal.
Can I customise the application form?
Yes. The form is created together with the CV parser and is yours afterwards – you can edit it freely in the HubSpot form editor.
What happens to my data if I uninstall the app?
The connection to your portal is released and the processing data on our side is removed. The objects, properties and records in your HubSpot portal remain – they belong to your portal.
